# Missed dental calls: transparent cost-model worksheet

Use fictional examples only in this shareable worksheet. Keep patient data in approved systems.
The worked numbers below are hypothetical, not Ethon pricing, customer results, or industry benchmarks.
This is a simplified planning example, not individualized financial advice.

## Define the cohort and time horizon

- Measurement dates:
- Locations and call windows:
- Definition of unanswered call:
- Deduplication method:
- Baseline callback/online-booking process:
- Source and owner for aggregate counts:
- Capacity available for additional visits:

| Input | Your input | Source / owner | Observed, estimated, or unknown |
| --- | --- | --- | --- |
| Unanswered events | | | |
| Unique inquiries after deduplication | | | |
| Eligible new-patient booking inquiries | | | |
| Other/unknown inquiries (do not invent a value) | | | |
| Baseline booking rate | | | |
| Pilot booking rate | | | |
| Attendance rate | | | |
| Contribution per additional visit in this period | | | |
| Subscription and usage costs | | | |
| Setup cost allocation | | | |
| Additional review and exception cost | | | |
| Other incremental costs | | | |

## Formulas

Additional bookings = eligible unique inquiries × (pilot booking rate − baseline booking rate)
Additional attended visits = additional bookings × attendance rate
Modeled contribution = additional attended visits × contribution per visit
Net modeled contribution = modeled contribution − total incremental costs

Keep negative results. Apply a capacity ceiling where needed.
Do not count staff costs twice if already included in contribution.
Do not add lifetime value to near-term contribution.

## Worked example

160 missed events → 100 unique inquiries → 50 eligible inquiries.
Baseline rate 30%; attendance 80%; contribution $150 per visit.
Cost: $650 subscription + $100 setup allocation + $150 review = $900/month.
The setup allocation assumes $1,200 spread over 12 months.

| Pilot rate | Additional bookings | Expected attended visits | Contribution | Net after $900 cost |
| --- | --- | --- | --- | --- |
| 40% | 5 | 4 | $600 | -$300 |
| 50% | 10 | 8 | $1,200 | $300 |
| 60% | 15 | 12 | $1,800 | $900 |

Break-even = $900 / (80% × $150) = 7.5 additional bookings,
or 15 percentage points of improvement across 50 inquiries.
Round operational targets to whole bookings; do not mistake expected values for actual counts.

## Before using the result

- [ ] Repeat attempts were deduplicated.
- [ ] Baseline callbacks and online bookings were included.
- [ ] Other/unknown calls were not all classified as new patients.
- [ ] Cohorts and actual operating days are comparable.
- [ ] Attendance, capacity, time horizon, and cost assumptions are visible.
- [ ] Revenue, contribution, lifetime value, and cash savings are separate.
- [ ] Downside and break-even cases are shown.
- [ ] Booking accuracy and unresolved handoffs were reviewed alongside the finances.
